We are looking for a motivated and organised Office Manager to join our team and help us create a productive and positive work environment. Job description

As an Office Manager with responsibility for HR administration, you will play a crucial role in ensuring the smooth running of our office and supporting our HR department. You will be responsible for a variety of tasks that contribute to the efficiency and effectiveness of our workplace.


Key Responsibilities

Office management:

  • Smooth running of daily office operations.
  • Managing the stock of office supplies and placing orders as required.
  • Monitoring and initiating payment transactions.
  • Processing incoming and outgoing mail and parcels.
  • Assisting with the reconciliation of credit card statements.
  • First point of contact for employees and guests.
  • Assisting with the planning and organisation of meetings, events and travel arrangements.
  • Coordinating the maintenance and repair of office equipment and facilities.

HR Administration:

  • Responding to employee enquiries and assisting with HR related matters.
  • Maintaining employee files and ensuring data accuracy and confidentiality.
  • Assisting with new employee onboarding and conducting orientation meetings.
  • Assist with benefits administration and payroll.Assist with performance appraisals, including scheduling appraisal interviews, preparing required documentation and tracking employee performance metrics.
  • Assist the HR department with recruitment, including posting job adverts and scheduling interviews.

Profile

  • Proven experience as an office manager, HR administrator or in a similar role.
  • Excellent organisational, multitasking and problem solving skills.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Knowledge of office management procedures and basic accounting principles.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of labour laws and regulations and HR software is an advantage.
  • Fluency in German and English is a must.
