The Swiss National Supercomputing Centre (CSCS) develops and operates cutting-edge, high-performance computing (HPC) systems as an essential service facility for science. The centre enables world-class research through its scientific user lab, available to domestic and international researchers in academia, industry, and the business sector. The centre is operated by ETH Zurich and has offices in Lugano (headquarters) and Zurich.

Project background

The Corporate Services unit ensures smooth and successful operations for all CSCS by providing business administration, travel organization, communication, events, IT support, finance, controlling, and procurement services. The unit supports more than 130 employees with international backgrounds and interfaces with our peers at ETH Zurich.

CSCS has an open position at our office in Lugano to strengthen the travel as the business administration teams.

Job description

As part of the travel team, which consists of two part-time positions, you will oversee the organization of travel and participation in conferences and events worldwide for our staff and organize travels to Lugano and Zurich for our guests.

This includes providing support during travel, maintaining a network with partner hotels, negotiating contracts for corporate rates, and managing a network of travel service providers. Financial control and report of travel costs is a key element. This includes bill accounting, expense refund requests, and credit card bill processing. Close cooperation with projects and the EU projects team regarding travel costs and accounting rules.

In our flexible organization, you will additionally support the business administration team in different activities related to the reception desk, billing, event organization, or HR support functions.

Profile

Expected qualifications:

  • Multiple years of experience in a similar position as a Travel Officer with specific financial and administrative responsibilities.
  • Application of professional knowledge in the travel industry.
  • Professional attitude and appearance with a customer service mindset.
  • Fluency in spoken and written English, German, and Italian.
  • Proficiency in the utilisation of office automation tools and readiness to be introduced into CSCS-specific diverse software tools.
  • Excellent organisational skills with the ability to be resourceful and proactive when issues arise.
