Office Manager and Events Support at the Swiss Data Science Center

70%-80%, Zurich, fixed-term

The Swiss Data Science Center (SDSC) is a joint venture between EPFL and ETH Zurich. Its mission is to accelerate the adoption of data science and machine learning techniques within the ETH Domain academic disciplines, the Swiss academic community at large, and the industrial sector. In particular, it addresses the gap between those who create data, those who develop data analytics and systems, and those who could potentially extract value from it. The center comprises a multi-disciplinary team of data and computer scientists, and experts in select domains with offices in Zürich, Lausanne, and Villigen.

For our offices in Zurich, we are looking for an all-round and enthusiastic Office Manager and Events support (70%-80%).

Job description

  • Overlook office space infrastructure/desk allocation/visitor access
  • Accreditations, access badges, and distribution lists
  • Manage office meeting rooms and community meeting spaces, organization of onsite meetings and events
  • IT Equipment inventory & order of IT infrastructures (hardware)
  • Order and Inventory office and staff facilities supplies, organize small office events 
  • Make travel arrangements and hotel bookings for visitors (internal/external)
  • Monitor generic email inbox
  • Keep the intranet page of the Administration Team up to date and support website maintenance (staff section)
  • Pay invoices / approve staff expenses
  • Ensure compliance with the ETHZ financial rules
  • Event planning, support, budgeting, and management
  • Organize the attendance of the SDSC at events, particularly in the German-speaking part of Switzerland

Your profile

  • You have several years of relevant/similar work experience in administration, preferably in a university environment. 
  • Your past experience shows that you thrive in a fast-paced environment, that you are proactive and flexible, that you are willing and able to work independently, and that you are good with both people and numbers.
  • Strong planning and organizational skills and an efficient working style are a must. 
  • You have a very high proficiency in both German and English (writing and speaking). Knowledge of French is a plus. 
  • You have excellent communication skills and are able to work in a group with members from diverse, international, and interdisciplinary backgrounds. 
  • You need to be open to addressing new administrative tasks which may go beyond the ones listed above.
